Just Like Family Home Care is committed to protecting the privacy of our clients, families, employees, caregivers, applicants, referral partners and website visitors. This Privacy Policy explains how we collect, use, disclose, safeguard and retain personal information in accordance with British Columbia’s Personal Information Protection Act (PIPA), applicable provisions of Canada’s Personal Information Protection and Electronic Documents Act (PIPEDA), and Canadian Anti-Spam Legislation (CASL).

1. Scope

Applies to the corporate website, all BC micro sites, contact forms, employment pages, landing pages, newsletters, online advertising, social media interactions and communications with our offices.

4. Information We Collect

Names, contact details, emergency contacts, care requirements, health information voluntarily provided, referral details, billing information, website analytics, IP address, cookies, employment application information and communications with us.

5. How Information is Collected

Information may be collected through website forms, telephone calls, email, in-person meetings, referrals, online chat, employment applications, family members, authorized representatives and healthcare professionals where authorized.

6. Purposes

To answer inquiries, assess care needs, provide home care, coordinate caregivers, communicate with families, process billing, recruit employees, improve services, comply with legal obligations and provide requested marketing communications.

7. Consent

Consent may be express, implied or electronic. Consent may be withdrawn at any time, subject to legal or contractual limitations.

8. Cookies & Analytics

Our websites may use cookies, Google Analytics, Google Tag Manager, advertising technologies and similar tools to improve website performance and understand visitor behaviour. Users may manage cookies through browser settings.

9. HubSpot & Website Forms

Information submitted through forms may be stored within our CRM to respond to inquiries, schedule consultations and communicate with prospective clients.

10. Marketing

Marketing emails are sent only where permitted by law or with consent. Individuals may unsubscribe at any time.

11. Technology Providers

We may use secure service providers including website hosting, Google Workspace, HubSpot, AxisCare, QuickBooks, Rotessa and other vendors supporting business operations.

12. Disclosure

Personal information is disclosed only where necessary to provide services, with consent, or where required or permitted by law. We do not sell personal information.

13. Healthcare Referrals

Where authorized, information may be exchanged with physicians, hospitals, Better at Home, Veterans Affairs Canada, ICBC and other approved healthcare partners to coordinate services.

14. Security

We use administrative, physical and technical safeguards including secure cloud platforms, password controls, access management, encryption where appropriate, staff training and confidentiality agreements.

15. Retention

Records are retained only as long as required by law and business needs, then securely destroyed or anonymized.

16. Access & Correction

Individuals may request access to or correction of their personal information. We aim to respond within the timelines required under applicable privacy legislation.

17. Services for Children and Youth

Just Like Family Home Care provides services to individuals of all ages, including children where appropriate. When services are provided to a child or youth, personal information is collected, used, and disclosed only with the consent or authorization of a parent, legal guardian, or other authorized decision-maker, unless otherwise permitted or required by law.

18. Third-Party Links

Our websites may link to third-party websites. We are not responsible for their privacy practices.

19. AI & Chat

If AI-assisted chat or automated tools are used, they assist with responding to inquiries and are not a substitute for professional healthcare advice.

20. Cross-Border Processing

Some technology providers may process information outside British Columbia or Canada. Contractual and technical safeguards are used where appropriate.

If a privacy incident occurs, we will investigate, mitigate risk, notify affected individuals where appropriate and comply with applicable legal requirements.

Appendix A – Client Privacy Notice

Just Like Family Home Care respects the privacy of every client and family we serve. We collect only the personal and health information reasonably required to assess care needs, develop care plans, schedule services, communicate with authorized family members, process billing, and meet legal and regulatory obligations. Health records are maintained within AxisCare and are accessible only to authorized personnel who require the information to perform their duties. Clients may request access to or correction of their personal information by contacting the Privacy Officer. We do not sell client information and only disclose it with consent or where authorized or required by law.

Client Privacy Rights

  • Know why your personal information is being collected.
  • Request access to your personal information.
  • Request correction of inaccurate information.
  • Withdraw consent where legally permitted.
  • Ask questions or file a privacy complaint with the Privacy Officer.

Appendix B – Caregiver & Employee Privacy Notice

Just Like Family Home Care collects personal information from caregivers, employees, contractors and applicants for recruitment, onboarding, payroll, scheduling, training, quality assurance, performance management, workplace health and safety, and legal compliance. Information may include contact information, employment history, credentials, criminal record check results where required, training records, emergency contacts, payroll information and scheduling details. Operational information may be managed using Monday.com, while client care documentation is maintained in AxisCare. Internal operational communications may occur through Slack. Personal information is accessed only by authorized personnel with a legitimate business need.

Caregiver Responsibilities

  • Protect client confidentiality at all times.
  • Access only the client information required to perform assigned duties.
  • Never share passwords or leave records unattended.
  • Immediately report any suspected privacy breach to the Privacy Officer.
  • Use company-approved systems when handling personal information.
